The Aichi Prefectural Government (hereinafter referred to as "the APG") and the APG’s“Program for Enhancing the Retention and Active Participation of International Students” Administrative Office (hereinafter referred to as "the Office") establish the following policy regarding the handling of personal information in the APG’s“Program for Enhancing the Retention and Active Participation of International Students (AICHI VALUE)” (hereinafter referred to as "the Program"), including internships for international students, and will thoroughly implement efforts for the protection of personal information.
"Personal information" refers to the "personal information" as defined by the Act on the Protection of Personal Information, and information concerning a living individual which falls under any of the following categories:
1) Information that can identify a specific individual through descriptions such as address, name, telephone number, email address, etc. (including information that can be easily matched with other information, thereby identifying a specific individual).
2) Information that includes personal identification codes.
1) Acquisition of Personal Information
The APG and the Office will acquire personal information such as the names, affiliations, telephone numbers, and email addresses of international students, their affiliated universities (hereinafter referred to as "universities"), and representatives of companies during the implementation of the Program. The APG and the Office will primarily rely on the information provided (registered) by the individuals concerned.
2) Use of Personal Information
Personal information acquired by the APG and the Office in relation to the implementation of the Program will be used within the scope of the clearly defined purposes outlined in Section 3.
3) Compliance with Laws and Regulations
The APG and the Office will comply with applicable laws and regulations concerning personal information that they hold.
4) Improvement and Review of Personal Information Handling
The APG and the Office will continuously improve the management system and structure related to personal information protection in the Program.
The purposes for which personal information obtained in relation to the Program will be used are as follows:
1) To communicate necessary data and coordination for the implementation of the Program, to disseminate information regarding events, to respond to inquiries, to create participant lists for events, and to conduct follow-up surveys related to the Program.
2) To provide personal information obtained from international students participating in the Program to universities, companies (limited to those to which entry sheets are submitted), and insurance companies that will be counterparts in contracts for insurance that international students will enroll in during their internship period, for necessary procedures related to the Program.
3) Other purposes explicitly stated in publicly disclosed materials prior to the acquisition of personal information.
Personal information provided (registered) during the implementation of the Program will not be disclosed to third parties for purposes other than those stated in Section 3, except in cases where disclosure is permitted under laws and regulations or with the consent of the individual.
Personal information that is no longer necessary to retain will be securely and promptly disposed of or deleted.
